Personal Assistant
Personal Assistants at Harrods provide seamless administrative support and develop a deep understanding of the needs and preferences of the Business Unit, to ensure a smooth running office. You will be reporting into and supporting the Head of Departments or Business Unit Director(s).
About the Role
Within this role, you will have various diary management and administrative responsibilities. You will understand the importance of key meetings, build flexibility into the diary and anticipate needs and changes. As a personal assistant, you will review incoming correspondence, distribute and respond accordingly ensuring necessary follow up, liaise with internal departments and arrange internal and external meetings; booking rooms, organising equipment and catering.
Communication is vital within this role as you will ensure that your line manager is where they need to be throughout the day and prompt them where necessary. It is important that you build and maintain strong working relationships with key contacts within the business and work in partnership with other Personal Assistants.
You will also:
Develop an understanding of Company Policies.
Ensure expenses are processed within Company guidelines/timeframes.
Meet and greet external visitors.
Note take in meeting and distribute actions as and when required.
Ensure there is sufficient stationary supplies within the department.
Handle sensitive information with the highest level of discretion and confidentiality.
Use your initiative to sold problems without the need to escalate.
Be mindful of deadlines.
Convey a professional image for Harrods at all times, exercising tact and diplomacy in handling a range of situations.
About You
We are looking for someone who has proven experience in a similar role, ideally within a large complex organisation, using attention to detail and strong administration skills. It is important that you have a strong customer service focus when dealing with both internal and external parties, using excellent interpersonal and communication skills to form relationships and exceed expectations.
We are also looking for the following qualities:
Excellent working knowledge of and proficiency with Microsoft Outlook, Word, Excel, PowerPoint and Viso.
Excellent time-management skills and the ability and willingness to multi-task.
Flexibility and readiness to adapt to changing priorities.
Ability to work at pace.
Strong work ethic and commitment to Harrods Values.
Ability to perform duties effectively with minimum supervision and guidance.
